The Events Manager is responsible for planning and executing all UYSA events, including but not limited to State Cup, Presidents Cup, Coyote Cup, Annual General Meeting, Scholarship Golf Tournament, Youth Soccer Month series, Ogden City SC, Regional/National events (hosted by UYSA) and sanctioned tournaments. JOB TITLE: Events Manager

REPORTS TO: Chief Operations Officer

JOB SUMMARY: The Events Manager is responsible for planning and executing all UYSA events, including but not limited to State Cup, Presidents Cup, Coyote Cup, Annual General Meeting, Scholarship Golf Tournament, Youth Soccer Month series, Ogden City SC, Regional/National events (hosted by UYSA) and sanctioned tournaments. In addition, the Events Manager will work closely with the marketing department to create strategic plans and coordination for each event.

JOB DUTIES:

Serve as Tournament Director for UYSA Hosted Tournaments (State Cup, Presidents Cup, Coyote Cup)

  • Identify and secure location for all UYSA tournament(s)
  • Work with venues to secure contract while negotiating price and dates
  • Set up registration, bracketing, and scheduling for tournaments
  • Oversee all operational responsibilities for tournaments: field set up/take down, check in, headquarters, communication to team representatives, award ceremonies, etc.
  • Evaluate State Cup policies and draft/request changes when needed
  • Work within budget to order tournament merchandise (t-shirts, hoodies, trophies, medals etc.)
  • Coordinate and contract with local food trucks/vendors for tournament
  • Meet with Marketing Department to familiarize yourself with marketing efforts and needs for tournament.
  • Coordinate activation of marketing materials for the tournament with the marketing department
  • Contract with referee assignor(s) to ensure coverage of referee assignments during the tournament
  • Host pre-tournament referee meeting to clarify rules and policies for event
  • Communicate Regional/National information to qualifying teams immediately following tournament completion

Coordinate Annual General Meeting

  • Identify and secure venue 15-18 months in advance of event
  • Negotiate room rates, dates, room blocks, food (awards dinner, breakfast, lunch) and other amenities
  • Work with CEO, COO, and Director of Coaching to set AGM Schedule (workshop classes, soccerfest, region meetings, elections, etc.)
  • Coordinate set up for all rooms used during event (gala, workshops, AGM, breakout rooms)
  • Secure keynote speaker for awards dinner
  • Create awards gala agenda, power point presentation, dinner script and outline
  • Ensure voting packets and AGM books are crafted
  • Assign meeting space for workshop classes and AGM breakout sessions
  • Work with the marketing department to create a robust plan and update website with AGM information and registration

Director of Scholarship Golf Tournament

  • Secure location and set date for tournament
  • Purchase/seek donations for raffle prizes, goodie bags giveaways and other golf tournament merchandise
  • Recruit teams both inside and outside of the Association to play
  • Work with marketing department to secure sponsorships for tournament
  • Keep website up to date with golf tournament and registration information
  • Prepare goodie bag and raffle giveaway prizes for event
  • Coordinate post round luncheon
  • Organize player check-in, long drive, closest to the hole, and tee box games Organize

Youth Soccer Month Series

  • As part of US Youth’s “Youth Soccer Month” celebration, the Events Manager will coordinate a Youth Soccer Month event in each region during September
  • Identify and secure location/date of each event
  • Work with local universities to host event in conjunction with university soccer match
  • Create clinics, camps, giveaways, games, etc. as the events
  • Order Youth Soccer Month merchandise to be given out at each event
  • Work with marketing department to create a marketing plan to advertise event and encourage players and their families to attend
  • Oversee Game Day Operations for Ogden City SC
  • Order equipment such as tents, sound system, etc.
  • Field setup/takedown
  • Run the PA for matches
  • Take stats at each home match

Regional/National Events Hosted by UYSA

  • Under the direction of the CEO or COO, prepare and submit bids for Regional/National events
  • Act as state liaison to the Regional or National body for all matters pertaining to the event
  • Work with local field venues to secure dates and contract for the event
  • Negotiate price and special requests/conditions with local field entity required by the Regional or National body
  • Form committees to organize planning and execution of the tournament: volunteers, set-up/take-down, field marshalling, local city (Visit Salt Lake) or state (sports commission) financial or in-kind help, parking, referees, and hospitality areas
  • Perform duties as tasked by the Regional or National body

Sanctioned Tournaments Liaison

  • Act as the State Liaison to the Sanctioned Tournament Committee
  • Work with Sanctioned Tournament Committee Chair to schedule tournament meetings
  • Create tournament application process for sanctioned tournaments
  • Develop and propose policies/procedures to the Board of Directors regarding the sanctioning and operation of tournaments hosted and operated by Members.
  • Review and make decisions with the sanctioning committee on applications for UYSA sanctioning of Member tournaments
  • Coordinate UYSA trailer rental for tournaments and drop off/pick up
  • Attend sanctioned tournaments to monitor check-in procedures, tournament operations, risk management, and other items to ensure sanctioned tournaments are meeting UYSA standards

MINIMUM EDUCATION/AND OR EXPERIENCE: Bachelor degree and at least three (3) years of sports management related experience.

SPECIAL SKILLS:

  • Must have extensive knowledge of FIFA Laws of the Game, US Youth and Utah Youth Soccer policies and procedures
  • Must be able to work with many different groups and personalities to problem solve and troubleshoot event issues and opportunities
  • Must be able to navigate and operate the Affinity Sports Registration Software and Tournament Scheduling and the Arbiter Sports Platform
  • Must be adept in use of MS Office 2000 or later, particularly Excel and Word, Internet, and email.
  • Must be able to appropriately bracket and schedule hundreds of teams in tournament play
  • Must be able to lift up to 75lbs
  • Job is fairly arduous at times, including but not limited to packing and unpacking trailers, setting up tents and banners, ceremony booths, and other event equipment
  • Experience operating a pickup truck and trailer is preferred
