Montana Youth Soccer Association (MYSA) seeks an Executive Director for a full-time, salaried position. The Executive Director is responsible for the executive and daily executive administrative operations required to support and expand the membership, programs and objectives of MYSA. ROLE OF THE EXECUTIVE DIRECTOR

• Implement the policies and directives of the MYSA
• Maintain the official records of the MYSA
• Manage and supervise the work and activities of all MYSA staff
• Attend and participate in all meetings of the MYSA Board of Directors and general membership as well as regional and national organizations as directed by the MYSA President
• Receive work direction and guidance from the MYSA President
• Report to the President or other members of the organization as directed by the President
• Maintain the financial records of the MYSA in a form and manner acceptable to the MYSA Treasurer
• Register all player members, coaches and volunteers of the MYSA so as to meet the requirements of the US Youth Soccer and U.S. Soccer

EXECUTIVE DIRECTION

• Meet the expectations of the elected and appointed board members and the general membership of the MYSA
• Develop business plans and solicit sponsors for MYSA programs
• Develop relationships with funding and sponsoring organizations including identification of grant programs and filing the appropriate applications
• Participate in and conduct negotiations for sponsorship of activities, programs and events
• Market MYSA to potential members and supporters
• Evaluate MYSA programs and activities and make recommendations for improvement
• Make recommendations for new programs and the expansion of current programs to meet the needs of the membership
• Maintain all MYSA policies and procedures

COMMUNICATIONS AND PUBLIC RELATIONS

• Act as liaison with other state associations, US Youth Soccer and U.S. Soccer
• Develop or facilitate relationships with other sport and recreation organizations
• Respond to all reasonable internal and external requests for information
• Manage the development and maintenance the MYSA website
• Present materials to the MYSA Board of Directors regularly
• Represent the MYSA to the public, including presenting promotional and organizational materials to prospective members of the MYSA as part of the outreach program
• Address all complaints directed toward MYSA or its programs and confer with the appropriate board members if unable to resolve issues

ADMINISTRATION

• Keep the MYSA President informed of all matters coming to the attention of the Executive Director and staff
• Provide the MYSA President with regular reports of the activities of the MYSA Executive Director and staff
• Assist the President with regular meetings of the MYSA Board of Directors
• Plan and coordinate all MYSA Annual General Meetings and League Meetings
• Oversee and regularly evaluate all employees and volunteers
• Process all insurance claims and keep informed of insurance requirements and changes
• Oversee the administration for the following MYSA programs:
  • MYSA State Run or Sponsored Tournaments
  • MYSA State Run Leagues
  • Montana Olympic Development Program (ODP)
  • Other programs as specified by the Board of Directors
• Make travel arrangements for all Board activities
• Maintain the official records of the organization
• Encourage the professional development of the MYSA staff through workshops, seminars and classes at educational institutions
• Recruit and pursue new club affiliations

FINANCIAL

• Provide financial reporting and control of all MYSA programs under the direction of the MYSA Treasurer in accordance with financial policies
• Oversee the daily accounts of the corporation, including receiving the bills and receipts of the corporation, making timely deposits of funds and recording and preparing expenses for review and payment approval by the MYSA Treasurer
• Prepare statements of the financial affairs of the MYSA for presentation to the MYSA Board of Directors at each regular Board meeting
• Manage relationships with banks and other financial institutions
• Create annual budgets in conjunction with the MYSA Treasurer and staff and actively monitor the budget throughout each fiscal year
• Prepare all payrolls and manage the storage of payroll records and payroll related documents
• Maintain the financial records of the corporation

PROFESSIONAL RELATIONS

• Important to the success of this position is the manner and style in which the Executive Director works interdependently with soccer teams from all clubs, statewide efforts, and regional programs. Collaborative relationships with US Youth Soccer and U.S. Soccer are highly valued
• Media relations including, but not limited to, radio, news periodicals, television and computer-based formats, are important for positive communication about Montana Youth Soccer Association and its activities and image
• Build synergy with amateur, professional, semi-professional and collegiate programs
• Maintain a positive image for the association
• Apply problem-solving and critical thinking skills
• Treat membership, volunteers and staff in a friendly, courteous manner

MINIMUM QUALIFICATIONS

• Bachelor’s Degree, Master’s Degree preferred
• Computer experience and knowledge of multiple Microsoft and other software programs
• Accounting experience and knowledge of general accounting principals
• Ability to remain sitting for extended periods
• Ability to verbally communicate with membership
• Ability to assist membership as needed
• Ability to lift 40 pounds
