Job Title: Office Manager/Bookkeeper

Position Overview:

South Texas Youth Soccer Association (STYSA) is seeking a qualified Office Manager/Bookkeeper to provide support for financial operations and our state programs. This includes creation of financial transactions (posting information to accounting journals/accounting software from such source documents as invoices to customers, cash receipts, and supplier invoices) and reconciling accounts to ensure their accuracy. The candidate will also assist with certain administrative duties related to our youth programs. The Office Manager/Bookkeeper will report directly to the STYSA Executive Director.

South Texas Youth Soccer Association has roughly 80,000 players, coaches and volunteers participating in our national state association on an annual basis. South Texas Youth Soccer Association is affiliated with US Youth Soccer and the US Soccer Federation. STYSA currently has 9 full-time employees.

Position Responsibilities:

  • Pay debts as they come due for payment; Issue invoices to customers
  • Accounts Receivables to include creating/entering bank deposits including recording AR payments as appropriate and transmitting deposits electronically to Bank. Ensure that receivables are collected promptly.
  • Accounts Payables to include pulling, coding and entering credit/debit card deposits into QuickBooks and submitting bills to be paid in bill pay system
  • Conduct a monthly reconciliation of every bank account
  • Assemble information for external auditors for the annual audit; Provide information to the Association Treasurer & external CPA who create the company’s financial statements
  • Manages payroll and bill pay system in a timely manner
  • Conduct financial analyses of the financial statements including variances from the budget & report significant issues to management
  • Comply with local, state, and federal government reporting requirements
  • Maintain an orderly accounting filing system; Maintain the chart of accounts
  • Multi-line phone responsibilities on a rotation basis; process mail/fax and distribute appropriately to personnel
  • Office supply ordering; Maintain office equipment – coordinate repairs as needed
  • Assist in the compilation of reports as needed or requested; Issue financial statements and reports as needed
  • Works with the STYSA Executive Director on special projects
  • Fulfills all other tasks as assigned to accomplish the goals of STYSA

Requirements:

  • A college degree from an accredited two or four-year university or equivalent work experience; an Associate’s degree or course experience in business administration, finance and/or accounting is preferred.
  • Must have knowledge of bookkeeping and generally accepted accounting principles.
  • Preference will be given to candidates with a working knowledge of the Quickbooks or QB Enterprise accounting software package. Microsoft Office experience also preferred.
  • Prior professional work experience in customer/member service in a small office environment is preferred.
  • Must have the ability to organize and execute multiple projects, tasks, and responsibilities simultaneously.
  • Must be organized and possess excellent verbal, phone and written communication skills.
